Change the details. A copy-pasted reply is almost as bad as no reply.
1. Long waiting time
“Hi Rakesh, thank you for telling us. Waiting over an hour isn’t acceptable, and we’re sorry your Saturday visit went that way. We’re adding a second doctor on weekends from next month. Please call us on [number] so we can book your next visit at a guaranteed time.”
2. Rude staff
“Hi Neha, we’re sorry. That’s not how we want anyone treated at our store. I’ve spoken to the team about it personally. If you’re willing, please message me at [number]. I’d like to hear exactly what happened.”
3. Product or service quality
“Hi Amit, thanks for the honest feedback. The finish on your wardrobe shutters clearly wasn’t up to our standard. Please call [name] on [number] and we’ll arrange an inspection and fix it at no cost.”
4. Price complaint
“Hi Priya, thank you for your review. We understand the final bill felt higher than expected. We should have explained the charges clearly before starting, and we’ll make sure that happens from now on. Please reach out on [number] if you’d like us to go through the invoice with you.”
5. Order delay or delivery problem
“Hi Sameer, we’re sorry your order arrived two days late, especially for an occasion. That’s on us. We’ve changed our delivery partner for your area. Please contact us on [number] and we’ll make it right.”
6. Wrong information on Google
“Hi Anjali, sorry you arrived to find us closed. Our hours on Google were wrong that day and we’ve corrected them now. We’d love to welcome you back. Please call ahead on [number] and we’ll make sure you’re looked after.”

7. Star rating with no text
“Hi, thank you for your rating. We’d really like to understand what we could have done better. Please share your feedback with us on [number] or [email].”
8. You can’t find them as a customer
“Hi, thank you for your feedback. We checked our records but couldn’t find a visit or booking under this name. If you were a customer, please contact us on [number] so we can look into it properly.”

State facts, not blame. Readers can tell who’s being reasonable.
10. After you’ve fixed the problem
“Update: Thank you, Sunita, for giving us the chance to fix this. We’re glad the replacement arrived and works well. We appreciate your patience.”
Things to avoid
- Arguing or calling the customer a liar
- Sharing their bill, phone number or medical or personal details
- Copy-pasting the same reply on every review
- Stuffing keywords like “best dentist in Vashi” into replies
- Offering a discount in exchange for removing the review

Should you reply in Hindi or Marathi?
Reply in the language the customer used. If they wrote in Hinglish, a simple Hinglish reply feels more human than formal English.
